Summary Faculty Administrative Assistant
Position Highlights:
- The Faculty Administrative Assistant supports leadership that may include Department Managers, Department Administrators and faculty members with moderately complex to complex administrative issues, manages schedules, arranges appointments and itineraries, coordinates meetings, travel, conference calls, prepares non-routine docs, reports, spreadsheets, develops advanced presentation materials, interpret and explain policies/procedures, collects, compiles and analyzes moderately complex data.
Responsibilities:
- Support multiple faculty members with moderately complex to complex administrative issues.
- Drafts, reviews, and distributes correspondence, presentations and other documents.
- Accurately type routine and complex faculty correspondence as requested.
- Professionally answers telephone and provides transparent, detailed, and concise messages.
- Manages schedules, arranges appointments and itineraries, coordinates meetings, travel, conference calls.
- Prepares non-routine documents, reports, spreadsheets.
- Develops advanced presentation materials.
- Interpret and explain policies/procedures.
- Collects, compiles and analyzes moderately complex data.
- Facilitates department meetings and produces quality meeting minutes, if applicable.
- Updates and maintains physician CV.
- Produces invoices and submits expense reports within a timely manner.
- Able to handle confidential information. Critical thinking, acting proactively, and independent work are essential.
- Maintains agreements and disclosures for conferences, including Outside Professional Activity and other compliance-related requirements.
- Manages the submission of leave requests and maintains accurate records of time off (FTA, FTO, MTO) in accordance with leave policies.
- Coordinates pager and attending coverage requests/modifications and ensures proper cancellation of clinics.
- Supports and coordinates tumor boards preparation.
Credentials and Experience:
- High School Diploma/GED
- Required 2 years administrative support experience in an office setting. Preferred experience in a healthcare, research and/or academic setting.
