JOB DESCRIPTION
Role: Executive Assistant to CEO, David Coleman
Mode: temporary for about 2 months covering a leave
Dates: Need identified candidate to start 12/2/24 so offer and acceptance no later than Wednesday, 11/20/24 to meet the date.
Location: HYBRID NYC (corporate location: 250 Vesey Street) Tues/Weds and remote the remaining.
Team: Office of the CEO (OCEO) and will collaborate with Amy Vacation, Deputy Chief of Staff, and Anastasiya Parvankin, Assistant Director - Presidential Initiatives once Dane trains.
Profile: The very best of the best...must have a minimum of 5 years, recent experience supporting a C-level executive(s). Have a knack for anticipating needs and curating a great day for their executive by accurate planning and consideration of needs, etc. Must be proactive, diligent and a stellar communicator with strong MSOffice (all applications) with exceptional scheduling skills. We need to see proven performance with a strong track record.
Budget/Rates: There is flexible budget here, per say, as we want to invite the very best...please share options within reason of commensurate pay history my guess is that we will see candidates in the range, but please share best options.
Process: Submit meaningful comments that are relative to the need and profile along with LI - Initial .5 video session with Dane Client (EA to CEO) > .5 - .75 panel with Amy Vacation (Chief of Staff) and David Coleman (CEO)
POSITION SUMMARY
You are an expert executive assistant ready for a temporary assignment supporting the CEO of a national, 1,700 person non-profit. People admire you as someone who is superbly reliable and organized and who gets work done with care, clarity and kindness.
The Temporary Executive Assistant to the CEO is an ambitious, detail-obsessed, and personable individual looking for a temporary role at the heart of one of the most influential, mission-driven education organizations in the world. You will provide superb administrative support to the CEO and play a pivotal role in the operations of the Office of the CEO/President. You are a problem solver who masters the details and levers needed for leaders to have the most productive days. You will join a small, fast-moving team that works with intensity, kindness, and good humor. You are precise and steady under pressure; anticipates and addresses problems before they arise; eagerly takes on new responsibilities; learns and uses technology skillfully; and make systems function better.
This position is responsible for providing executive administrative support to the CEO. Core responsibilities include calendar management, expense management, travel planning and execution. The expectation is that you are in the office minimally two days (Tuesdays and Wednesdays). The Temporary Executive Assistant to the CEO reports to the Deputy Chief of Staff and will also take regular direction from CEO and interim President.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES
Calendar management (50%)
Manage all aspects of the CEO s calendar, anticipating scheduling conflicts and working quickly to resolve issues in a swift and efficient manner. Possess full command of the CEO s calendars, including meeting locations, travel, and participants.
Rapidly become familiar with CEO s scheduling preferences and patterns and consistently apply when setting meetings.
Work with a tight-knit team of EA s from across the org to coordinate complex calendars.
Prepares a daily list of any calendar-related matters for review by the CEO with a focus on managing details while ensuring accuracy of all information.
Daily support, travel and expense coordination (20%)
Provide wide ranging administrative and operational support to the CEO, including meal support while on site, all travel arrangements, expense reporting, meeting logistics. Support on travel and expenses for Deputy Chief of Staff.
Arrange and ensure reliability of all transportation/travel/hotel. Maintain hyper-vigilance on travel logistics before and during any travel.
Personal support (10%)
Provide focused personal support to the CEO to drive efficiency and save time for the CEO, including coordinating some personal/family travel and supporting on events within CEO s home.
IT support (10%)
Be responsible for first layer of daily tech operations for CEO. Includes ensuring devices are running smoothly and virtual meetings are set up prior to start time.
Maintain and lead relationship with the IT department for any A/V and technology needs for the CEO.
Miscellaneous (10%)
Manage/assist with special projects and tasks as assigned including mailings, event support (e.g., planning, coordinating details, or joining in-person), research, and ordering and stocking supplies.
Maintain confidentiality when dealing with sensitive information.
Maintain strong, reliable working relationships across the organization on behalf of the Office of the CEO, including with senior management and staff.
MINIMUM QUALIFICATIONS
Education/Experience:
High school diploma or equivalent, and minimum five years related experience required, BA preferred.
